Eligibility & Geographic Restrictions

All services are intended for individuals 18 years of age and older. By accessing our services, you confirm that you meet this age requirement.

Psychiatric Services — UK Residents Only

Our regulated psychiatric services — including consultations, deprescribing support, second opinions, ADHD assessments, and trauma stabilisation — are available to UK residents only. This restriction reflects our CQC regulatory obligations and the clinical requirements of safe, ongoing psychiatric care, including the need for a named UK GP and continuity with NHS services where appropriate.

By submitting an enquiry or booking for psychiatric services, you confirm that you are ordinarily resident in the United Kingdom. This requirement is stated on our website service pages and is verified at the point of booking via our new patient intake process (see Section 3).

We reserve the right to decline to provide, or to discontinue, psychiatric services to any individual who is not resident in the UK.

Coaching & Integrative Therapies — No Geographic Restriction

Transformational life coaching, EFT, and integrative therapy sessions are not regulated psychiatric services and are not subject to the UK residency requirement. These services may be accessed by individuals based outside the United Kingdom.

New Patient Intake Process

All prospective patients for psychiatric services are required to complete our intake process before a booking is confirmed. This process is designed to ensure that we can offer safe, appropriate, and clinically suitable care.

Stage 1 – Enquiry

Our online contact form includes an explicit question asking whether the enquirer is based in the UK. We are unable to progress enquiries for psychiatric services from individuals who indicate they are not UK resident.

Stage 2 – New Patient Intake Form

Once an enquiry is accepted, you will be asked to complete a new patient intake form prior to your first appointment. This form requires the following:

  • Proof of identity – a copy of a valid passport, driving licence, or equivalent government-issued ID
  • Proof of UK address – a recent utility bill, bank statement, or official correspondence dated within the last three months
  • Details of your UK GP – the name, surgery, and contact details of your current NHS general practitioner

A booking will only be confirmed once intake documentation has been received and reviewed. We reserve the right to decline a booking if documentation is incomplete, cannot be verified, or indicates that the patient does not meet our eligibility criteria.

Why we ask for your GP details

Safe psychiatric practice requires a clear line of communication with your NHS GP. We will write to your GP following your initial consultation (with your consent), and your GP details allow us to act quickly in the event of a clinical concern or emergency.

Booking & Payment

All services must be prepaid in full at the time of booking. Bookings are made via contact forms, direct communication, or through online calendar links.

We accept the following payment methods:

  • Bank transfer
  • Debit and credit cards
  • Apple Pay
  • Google Pay
5

Cancellation, Refunds & Non-Eligible Patients

Cancellation and refund policies may vary depending on the specific service, programme, or product.

  • For psychiatric consultations, we require a minimum of 48 hours' notice for cancellations or rescheduling. Cancellations within this period may be charged in full.
  • For all other services (coaching, workshops, digital products), please refer to the specific product or programme page for the applicable cancellation and refund policy.

We reserve the right to apply discretion in exceptional or emergency circumstances.

Refunds for Non-Eligible Patients

Where a payment is received for psychiatric services and it subsequently becomes apparent — whether through the intake process, payment details, or other information — that the patient is not ordinarily resident in the United Kingdom, we will refund the payment in full and will not proceed with providing the service.

This policy is applied consistently and without exception. Refunds in these circumstances will be processed to the original payment method within a reasonable timeframe. We are not able to offer an alternative service arrangement in lieu of the refund.

Consistency of enforcement

Our UK residency requirement is documented in these Terms & Conditions and stated clearly across our website. It is enforced at every point of contact: the enquiry form, the new patient intake process, and at the point of booking. We do not make exceptions to this policy for psychiatric services.

6

Medical Disclaimer

While we provide professional psychiatric services and coaching, participation in coaching, workshops, or online courses does not constitute medical advice or a substitute for clinical diagnosis or treatment unless you are an existing psychiatric client under formal care.

You are responsible for consulting your own healthcare provider before starting any mental health or personal development work.

Not a crisis service

The Holistic Psychiatry Clinic is not a crisis or emergency service. If you are in immediate distress or having thoughts of suicide or self-harm, please contact your GP, call 111, call Samaritans on 116 123, or attend your nearest A&E.

7

Limitation of Liability

To the fullest extent permitted by law, The Holistic Psychiatry Clinic and its practitioners shall not be liable for any indirect, incidental, consequential, or special damages arising from or related to the use of our services, including but not limited to loss of income, mental distress, or interruption of service.

Our total liability shall not exceed the amount paid for the service in question.

8

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.

9

Changes to These Terms

We reserve the right to modify these terms at any time. Updated versions will be posted on our website with the revised effective date. Continued use of our services following any update constitutes acceptance of the revised terms.
